The type of personal information we collect

We (the LEMC Directors, Advisors, Company Secretary and Manager) currently collect and process the following information:

Homeowners’ and their tenants’ name

Homeowners' and tenants’ email address

Homeowners’ and tenants’ telephone and/or mobile numbers

Homeowners’ property (and correspondence) address

Estate service charge invoices and balances

How we get the personal information and why we have it

Most of the personal information we process is provided to us indirectly by your solicitor at the time of purchasing a property on Lacuna Estate, Kings Hill, Kent for the purpose of sending you information about the running of the Estate and collecting service charges to pay for services provided, such as window cleaning and gardening.

Sometimes, the personal information we process is provided to us directly by you. We use the information that you have given us in order to maintain a spreadsheet database which is stored in the iCloud.

We may share your information with a solicitor in order to collect arrears, an external chartered accountant to audit our accounts, estate contractors as necessary or with any statutory authority (police, HMRC) on request.

We do not share your data with any other bodies.

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is that we have a (mutual) contractual obligation as specified in your deed of covenant.

How we store your personal information

Your information is securely stored in the iCloud. We archive your personal information (name, email, addresses and estate charge balances) for up to five years after you sell. We will then dispose your information by deleting it from the spreadsheet.

Your data protection rights

Under data protection law, you have rights including:

• Your right of access - You have the right to ask us for copies of your personal information.
• Your right to rectification - uou have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
• Your right to erasure - you have the right to ask us to erase your personal information in certain circumstances.
• Your right to restriction of processing - you have the right to ask us to restrict the processing of your personal information in certain circumstances.
• Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
• Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
• You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at lemcoperations@gmail.com if you wish to make a request.
